Update Policy

  1. Purpose and Scope

This policy establishes Aventis Graduate School’s commitment to fostering a safe, respectful, and inclusive learning and working environment. It applies to all students, staff, contractors, and any individuals engaging in school-related activities, regardless of location or mode of learning.

  1. Policy Objectives
  • Prevent harassment and sexual misconduct in all forms.
  • Provide clear reporting mechanisms.
  • Ensure timely, fair, and sensitive handling of all incidents.
  • Uphold freedom of speech within legal bounds.
  • Ensure staff and students are trained and supported.
  • Manage and regulate intimate personal relationships to avoid abuse of power.
  1. Definitions
  • Harassment: Refers to any threatening, abusive, or insulting behaviour, communication, or conduct (including online) that causes or is likely to cause distress, alarm, or harassment to another person. This is aligned with the Protection from Harassment Act 2014 (POHA) in Singapore.
  • Sexual Misconduct: Includes any unwanted or inappropriate conduct of a sexual nature, whether physical, verbal, non-verbal, or digital. This encompasses sexual harassment, molestation, and other acts that violate an individual’s bodily autonomy or dignity, regardless of intent.
  • Intimate Personal Relationship: A consensual romantic or sexual relationship involving emotional or physical closeness between individuals, including but not limited to dating, sexual contact, or cohabitation.
  • Relevant Staff Member: Any staff member—full-time, part-time, adjunct, or contracted—who holds direct academic, administrative, supervisory, or pastoral responsibilities over a student, including teaching, grading, advising, or overseeing academic progress or conduct.
  1. Comprehensive Source of Information

A single dedicated webpage titled “Dignity and Respect at Aventis” will serve as the authoritative, continuously updated source of information. It will include:

  • All relevant policies and procedures.
  • Clear version control and historical revisions.
  • Prominent access from the homepage, handbooks, and student onboarding materials.
  1. Prohibited Conduct
  • Any form of harassment or sexual misconduct is strictly prohibited.
  • Aventis maintains a ban on intimate personal relationships between relevant staff and students, unless exempted under “pre-existing relationship” clauses.
  • Breaches may lead to disciplinary actions, including dismissal.
  1. Reporting and Confidentiality
  • Multiple reporting channels available (online, in-person, anonymous).
  • Reports accepted from students, staff, or third parties.
  • All disclosures will be handled sensitively and in line with data protection law.
  • No use of non-disclosure agreements (NDAs) in such cases.
  1. Investigation Process
  • Clearly documented steps for investigation and resolution.
  • Commitment to fairness, impartiality, and the principles of natural justice.
  • All parties involved will be informed of decisions and reasoning.
  1. Training and Capacity Building
  • Mandatory training for staff and students:
    • Understanding harassment and misconduct.
    • Consent and bystander awareness.
    • Freedom of speech obligations.
  • Training delivered by qualified professionals and evaluated regularly.
  1. Support for Students
  • Personal, academic, and psychological support available for:
    • Complainants
    • Alleged perpetrators
    • Witnesses
  • External referrals (e.g., counselling services, legal aid) will be made as needed.
  • Adjustments in academic or assessment arrangements where required.
  1. Freedom of Speech
  • Aventis will ensure this policy upholds freedom of speech and academic freedom.
  • Course materials and lawful academic discourse are presumed not to constitute harassment.
  1. Oversight and Review
  • The policy will be reviewed annually or when prompted by incidents or legal updates.
  • Student and staff feedback will be actively sought and incorporated.

 

Personal Data Protection Statement

Aventis respects the privacy of individuals and recognizes the importance of the personal data you have entrusted to us and believes that it is our responsibility to properly manage, protect, process, and disclose your personal data. We are also committed to adhering to the provisions and principles of the Personal Data Protection Act 2012. As such, this Personal Data Protection Statement is to assist you in understanding how we collect, use and/or disclose your personal data. We will collect, use and disclose your personal data in accordance with the Personal Data Protection Act 2012 (“Act”).   • Reasonableness – Organisations may collect, use or disclose personal data only for purposes that would be considered appropriate to a reasonable person in the given circumstances.

 

In addition to the three main concepts above, the Act contains nine main obligations which organisations are expected to comply with if they undertake activities related to the collection, use, and/or disclosure of personal data:

  • The Purpose Limiting Obligation
  • The Notification Obligation
  • The Access and Correction Obligation
  • The Accuracy Obligation
  • The Protection Obligation
  • The Retention Limitation Obligation
  • The Transfer Limitation Obligation
  • The Openness Obligation

While we will not be going into the details of these obligations in this Personal Data Protection Statement, you can be rest assured that we are constantly mindful of them in our collection, use, and disclosure of personal data. In general, subject to applicable exceptions permitted in the Act, before we collect any personal data from you, we will notify you of the purposes for which your personal data may be collected, used, and/or disclosed, as well as obtain consent for the collection, use, and/or disclosure of your personal data for the intended purpose.

Confidentiality and Integrity

We limit employee access to personal information collected through asm.edu.sg to only those employees who need access to the information in the performance of their official duties. Employees who have access to this information follow appropriate procedures in connection with any disclosures of personal information. In addition, we have implemented procedures to safeguard the integrity of our information technology assets, including but not limited to, authentication, authorization, monitoring, auditing, and encryption. These security procedures have been integrated into the design, implementation, and day-to-day operations of https://aventis.edu.sg as part of our continuing commitment to the security of electronic content as well as the electronic transmission of information. For security purposes and to maintain the availability of https://aventis.edu.sg for all users, we employ software to monitor traffic to identify unauthorized attempts to upload or change information or otherwise damage this website.
